Weekly/Daily Update Process

Remember, to download into your PDA, copy into your clipboard, paste into your PDA "desktop" software into a new memo in the memo pad function, and then Hot Sync with your PDA.

Your Daily Routine:

(I recommend you do this first thing every morning!)

Check voice mail
Process new email
Process tickler file
Get and process snail mail
All items go into inbox
Process inbox using 3-minute rule -- integrate into "Process" folder
File appropriate items into "Reading" pile and "Archives"
Create and add any new tasks/projects not already captured
Get Productive!!

 

 

 

The Weekly Update -- Routine System Maintenance

Note to PDA Users:  If you follow this process once a week, you will find that your time/project management system will work much more smoothly, efficiently, AND effectively.  It forces you to stay on top of things and not lose things.

Add to project/task list any new projects/items not currently in project/task list

Review personal goals list/values/mission/quotable quotes.  Any items to elevate in priority/add to task lists?

Process all loose paper/notes in planner/office through 3-minute rule/inbox/pending box routine

Review calendar for upcoming events/any task's for preparation?

Review all projects/roles -- add appropriate next steps/due dates into task list

Review "Possibilities" list -- any projects to elevate to current status?

Review Task list -- mark completed items/review for any new to-dos to add to list/redate and reprioritize any tasks that are "past due"

Review data files/notes -- any new actions/projects to set up?
